Complete user guide for bulk exporting Fathom transcripts

Installation & Setup

Two Ways to Get Started

There are two paths to installing TranscriptExporter depending on how you discovered it:

Path A: Website First

  1. Visit transcriptexport.com
  2. Purchase license ($29)
  3. Receive email with Chrome Web Store link
  4. Install extension from Chrome Web Store
  5. Enter license key from email
  6. Start exporting

Path B: Chrome Web Store First

  1. Find extension in Chrome Web Store
  2. Install extension (free)
  3. Open extension - see "Need License" message
  4. Click link to transcriptexport.com/checkout
  5. Purchase license ($29)
  6. Enter license key in extension
  7. Start exporting

License Key Setup

Activating Your License

  1. Click the TranscriptExporter icon in your Chrome toolbar
  2. Enter your license key (25 characters, no spaces)
  3. Click "Validate License"
  4. Wait for "License Valid" confirmation

Device Limits

Each license can be activated on maximum 3 devices. If you need to use it on more devices, contact support for additional licenses.

Using TranscriptExporter

First Time Connection

The first time you use TranscriptExporter, you'll need to securely connect your Fathom account. You can do this from any tab — you don't need to be on fathom.video.

  1. Click the TranscriptExporter icon in your Chrome toolbar
  2. Click the "Connect with Fathom" button
  3. A popup window opens with Fathom's authorization page
  4. Click "Allow" to approve the connection
  5. You're done! This only needs to be done once per account

Multi-Account Support (New in v3.2)

You can now connect and manage multiple Fathom accounts! Perfect for consultants, agencies, or anyone with multiple workspaces.

How to Switch Accounts:

  1. Click the extension icon and go to Settings
  2. Click "Disconnect" for your current account
  3. Click "Connect with Fathom" to add a new account
  4. Exports from each account stay separate

Account Mismatch Detection: The extension automatically detects when you're browsing Fathom with a different account than you're connected to, and prompts you to reconnect.

Basic Export Process

Works from Anywhere

Once you're connected, you can run an export from any browser tab. You don't need to be on fathom.video. The extension pulls your meetings directly from Fathom's API, not from whatever page you're looking at.

Inside the popup you can switch between My Calls and Team Calls (if you have team access) using the tabs at the top.

  1. Open the extension - Click the TranscriptExporter icon in your Chrome toolbar (from any tab)
  2. Pick the tab - My Calls or Team Calls depending on what you want to export
  3. Choose content - Select Transcripts, AI Summaries, or both
  4. Choose format - Select one or more formats (TXT, CSV, JSON, Markdown)
  5. Configure filters (optional) - Set date ranges, keywords, attendee filters
  6. Start export - Click the export button
  7. Wait for completion - Extension will show real-time progress
  8. Download ZIP - All files packaged automatically

Filtering Options

Date Filtering

  • Set start date and end date
  • Format: MM/DD/YYYY
  • Leave blank to export all dates
  • Useful for quarterly exports

Keyword Filtering

  • Comma-separated keywords
  • Example: "Check In, Marketing Meeting, Q3 Wrap-Up"
  • Matches meeting titles
  • Leave blank to export all meetings

Attendee Filtering NEW

  • Attendee Email: Only export meetings where a specific person attended
  • Company Domain: Filter by attendee email domain (e.g., acme.com)
  • Great for pulling all calls with a specific client or company

Meeting Type NEW

  • All Meetings: Export everything (default)
  • Internal Only: Meetings where all attendees share your domain
  • External Only: Meetings with at least one outside attendee

Have thousands of transcripts?

If you have a large account and need to filter by multiple keywords, it's faster to export everything once (no keyword filter), then use our Transcript Filter Tool to quickly filter the downloaded files locally.

What Happens During Export

Official Fathom Connection

TranscriptExporter uses Fathom's official approved connection to securely retrieve your transcripts. The process is fast, secure, and happens entirely in the background.

  • Secure connection to your Fathom account

  • You can continue using your computer normally during export

Step-by-Step Process

  1. Secure Connection: Extension connects to Fathom using your authorized connection
  2. Fetch Meeting List: Retrieves all meetings from your account
  3. Apply Filters: Filters meetings based on your criteria (date, keywords)
  4. Download Transcripts: Securely retrieves each transcript via Fathom's official connection
  5. Create Files: Generates clean filenames with date and title
  6. Package ZIP: Bundles all files into an organized ZIP
  7. Auto-Download: ZIP file downloads to your computer automatically

Progress Tracking

The extension shows real-time progress:

  • Number of transcripts processed
  • Current transcript being downloaded
  • Estimated time remaining
  • Export speed (transcripts per second)
  • Any errors encountered

Export Formats

Choose one or more export formats. Select multiple to get all formats organized in subfolders within the ZIP:

Text (.txt) - One file per meeting with speaker-labeled transcript. When summaries are included, the AI summary appears after the transcript under a --- AI SUMMARY --- separator. Default format.

CSV (.csv) - All meetings in a single spreadsheet file. Includes a Summary column when AI Summaries are selected. Opens in Excel or Google Sheets.

JSON (.json) - One structured file per meeting with full metadata, participant list, timestamped transcript array, and summary object (with template name and full markdown content). Ideal for developers or data pipelines.

Markdown (.md) - One formatted file per meeting with metadata table and speaker-labeled transcript. Summaries are rendered in full Markdown with clickable timestamp links. Renders beautifully in Notion, Obsidian, GitHub, or any Markdown viewer.

Content Selection: Transcripts & AI Summaries
  • Transcripts only: Exports the full speaker-labeled transcript for each meeting (1 API call per meeting)
  • Summaries only: Exports only Fathom's AI-generated summary - includes meeting purpose, key takeaways, topic breakdowns, and next steps (1 API call per meeting)
  • Both: Each file contains the transcript followed by the AI summary. Requires 2 API calls per meeting, so exports take roughly twice as long

The AI summary includes a "Next Steps" section which covers the same ground as Fathom's "Action Items" tab.

Large Exports (1,000+ Transcripts)

For exports over 1,000 transcripts, TranscriptExporter automatically splits the download into multiple ZIP files - each containing up to 1,000 transcripts. This prevents browser memory issues and ensures reliable downloads even for very large archives.

For example, exporting 2,500 transcripts will produce 3 ZIP files. You'll see live progress notifications as each part saves to your downloads folder.

Browser Compatibility

Internet Connection

A stable internet connection is required during export. If your connection drops, the export will pause and can be resumed when reconnected.

Troubleshooting Guide

License Key Problems

"Invalid License" Error

  • Double-check license key for typos (no spaces)
  • Ensure you haven't exceeded 3-device limit
  • Verify your payment was processed successfully
  • Contact support if purchased within last 24 hours

Export Problems

Export Stops or Stalls

  • Check your internet connection is stable
  • Click "Resume Export" if the button appears
  • Try refreshing the page and restarting the extension
  • For very large exports (1000+), try exporting in smaller date ranges

No Transcripts Found

  • Check that your meetings actually have transcripts in Fathom
  • Clear your date/keyword filters and try again
  • Verify you're connected to Fathom (check extension popup)
  • Try disconnecting and reconnecting your Fathom account

Connection Errors

  • Click "Connect with Fathom" to reauthorize the connection
  • Clear your browser cache and cookies for fathom.video
  • Make sure you're logged into Fathom in another tab
  • Check if Fathom is experiencing service issues

Browser Issues

Extension Not Working

  1. Verify extension is enabled in chrome://extensions/
  2. Refresh the Fathom.video page
  3. Restart Chrome browser completely
  4. Check for Chrome updates
  5. Reinstall extension from Chrome Web Store

TranscriptExporter Pro - $6.99/month

Setting Up Google Drive

  1. Go to extension Settings
  2. Find the Google Drive section
  3. Click "Connect Google Drive"
  4. Sign in and authorize TranscriptExporter
  5. Choose your backup folder (or use default)
  6. Done! All exports will auto-backup

Note: You may see a "Google hasn't verified this app" warning. Click "Advanced" → "Go to TranscriptExporter" to proceed. This is temporary while we await Google verification.

Setting Up Dropbox

  1. Go to extension Settings
  2. Find the Dropbox section
  3. Click "Connect Dropbox"
  4. Sign in to your Dropbox account
  5. Authorize TranscriptExporter
  6. Done! All exports will auto-backup

Managing Your Pro Subscription

You can manage your subscription anytime from the extension:

  1. Open the extension and go to Settings
  2. Click "Manage Subscription"
  3. In the billing portal, you can:
    • Update payment method
    • View billing history
    • Cancel subscription

Cancellation: If you cancel, Pro features remain active until the end of your billing period. Your Basic license stays active forever.

OAuth Reliability + New Connection Diagnostics

Connecting to Fathom is now more reliable when Fathom's auth servers hiccup. The extension automatically retries transient failures instead of silently dumping you back on the Connect screen. Added a new "Connection Diagnostics" panel in Settings that runs a full health check and tells you exactly what is wrong (and how to fix it) when something feels off.

Fixes

  • Automatic OAuth retry - the token exchange with Fathom now retries when their server returns an empty response or a temporary error. Most users will not notice this happening; it just means Connect no longer fails for transient reasons
  • Connect button label consistency - if a connection attempt fails, the button stays labeled "Connect with Fathom" instead of changing to "Connect with Fathom OAuth", which made it look like there were two different buttons

New

  • Connection Diagnostics panel in Settings (under Troubleshooting) - click "Test Connection" to run a health check across your license, Fathom OAuth, cloud destinations (Google Drive, Dropbox), and a live Fathom API probe. The output leads with a clear verdict (HEALTHY / WARNINGS / PROBLEMS) and gives you specific next steps for any issue it finds. Click "Copy" to paste the full report into a support email

Auto-Sync Hardening + Streaming Folder Picker

A round of robustness improvements to auto-sync for Pro users (Google Drive and Dropbox) and a much faster folder picker for anyone with a lot of Drive folders.

Improvements

  • Failed uploads now retry automatically - if an individual recording fails to sync (network blip, expired token, etc.), it goes into a retry queue and is attempted again on the next sync cycle, up to five times before being skipped
  • Sync handles long backlogs - auto-sync now paginates through Fathom's API correctly, so reconnecting after a long absence catches up properly instead of stopping after the first 100 recordings
  • Manual exports advance the auto-sync watermark - if you do a manual export while auto-sync is enabled, the next auto-sync cycle won't re-fetch the recordings you just exported
  • No more concurrent-sync collisions - if you click "Sync Now" while the alarm-driven sync is also running, the second one waits its turn instead of running on top
  • Faster Drive folder picker - if you have thousands of Google Drive folders, the picker now streams them in page-by-page instead of waiting to load every folder up front. The first folders appear in about 200ms and you can search or pick while the rest continue loading in the background

Behind the Scenes

  • Added structured logging for every auto-sync run so future sync issues can be traced from telemetry rather than guesswork
  • Tightened the auto-sync watermark logic to prevent the boundary recording from being re-processed every cycle

Version 3.7.1 - May 6, 2026

Cloud Sync Reliability + Duplicate Cleanup

Major reliability fix for Google Drive and Dropbox cloud sync. Earlier versions could accumulate duplicate copies of the same recording in your cloud folder over time. Cloud uploads now check for existing files first and update in place. A new cleanup button removes any duplicates that built up under the old behavior.

Fixes

  • No more duplicate cloud files - when the same recording is synced more than once (e.g. manual export + auto-sync, or after a network blip), the existing Drive or Dropbox file is now updated in place instead of creating a copy
  • Standardized filenames - manual export and auto-sync now produce identical filenames (including the Fathom recording ID), so neither path can create parallel copies of the other's files
  • Connect screen copy - removed the misleading "Must be on fathom.video" note. You can connect from any tab

New

  • Find & Remove Duplicate Files - a new button in Settings under each connected cloud service. Click once to scan, click again to confirm. Cleans up any duplicates left behind by previous versions in a single pass
