Complete user guide for bulk exporting Fathom transcripts

Installation & Setup

Two Ways to Get Started

There are two paths to installing TranscriptExporter depending on how you discovered it:

Path A: Website First

  1. Visit transcriptexport.com
  2. Purchase license ($29)
  3. Receive email with Chrome Web Store link
  4. Install extension from Chrome Web Store
  5. Enter license key from email
  6. Start exporting

Path B: Chrome Web Store First

  1. Find extension in Chrome Web Store
  2. Install extension (free)
  3. Open extension - see "Need License" message
  4. Click link to transcriptexport.com/checkout
  5. Purchase license ($29)
  6. Enter license key in extension
  7. Start exporting

License Key Setup

Activating Your License

  1. Click the TranscriptExporter icon in your Chrome toolbar
  2. Enter your license key (25 characters, no spaces)
  3. Click "Validate License"
  4. Wait for "License Valid" confirmation

Device Limits

Each license can be activated on maximum 3 devices. If you need to use it on more devices, contact support for additional licenses.

Using TranscriptExporter

First Time Connection

The first time you use TranscriptExporter, you'll need to securely connect your Fathom account:

  1. Click the TranscriptExporter icon in your Chrome toolbar
  2. Click "Connect to Fathom" button
  3. Fathom will open asking you to authorize TranscriptExporter
  4. Click "Allow" to approve the connection
  5. You're done! This only needs to be done once per account

Multi-Account Support (New in v3.2)

You can now connect and manage multiple Fathom accounts! Perfect for consultants, agencies, or anyone with multiple workspaces.

How to Switch Accounts:

  1. Click the extension icon and go to Settings
  2. Click "Disconnect" for your current account
  3. Click "Connect to Fathom" to add a new account
  4. Exports from each account stay separate

Account Mismatch Detection: The extension automatically detects when you're browsing Fathom with a different account than you're connected to, and prompts you to reconnect.

Basic Export Process

Works on Both Page Types

My Calls

Navigate to fathom.video/calls

Team Calls

Navigate to fathom.video/teams/[teamname]

Both page types supported with identical functionality

  1. Navigate to Fathom.video - Go to your meetings list (My Calls or Team Calls)
  2. Open Extension - Click the TranscriptExporter icon in your toolbar
  3. Configure Filters (optional) - Set date ranges or keywords
  4. Start Export - Click "Start Export" button
  5. Wait for Completion - Extension will show real-time progress
  6. Download ZIP - All transcripts packaged automatically

Filtering Options

Date Filtering

  • Set start date and end date
  • Format: MM/DD/YYYY
  • Leave blank to export all dates
  • Useful for quarterly exports

Keyword Filtering

  • Comma-separated keywords
  • Example: "Check In, Marketing Meeting, Q3 Wrap-Up"
  • Matches meeting titles
  • Leave blank to export all meetings

Attendee Filtering NEW

  • Attendee Email: Only export meetings where a specific person attended
  • Company Domain: Filter by attendee email domain (e.g., acme.com)
  • Great for pulling all calls with a specific client or company

Meeting Type NEW

  • All Meetings: Export everything (default)
  • Internal Only: Meetings where all attendees share your domain
  • External Only: Meetings with at least one outside attendee

Have thousands of transcripts?

If you have a large account and need to filter by multiple keywords, it's faster to export everything once (no keyword filter), then use our Transcript Filter Tool to quickly filter the downloaded files locally.

What Happens During Export

Official Fathom Connection

TranscriptExporter uses Fathom's official approved connection to securely retrieve your transcripts. The process is fast, secure, and happens entirely in the background.

  • Automatic ZIP file creation when complete
  • You can continue using your computer normally during export

Step-by-Step Process

  1. Secure Connection: Extension connects to Fathom using your authorized connection
  2. Fetch Meeting List: Retrieves all meetings from your account
  3. Apply Filters: Filters meetings based on your criteria (date, keywords)
  4. Download Transcripts: Securely retrieves each transcript via Fathom's official connection
  5. Create Files: Generates clean filenames with date and title
  6. Package ZIP: Bundles all files into an organized ZIP
  7. Auto-Download: ZIP file downloads to your computer automatically

Progress Tracking

The extension shows real-time progress:

  • Number of transcripts processed
  • Current transcript being downloaded
  • Estimated time remaining
  • Export speed (transcripts per second)
  • Any errors encountered

Export Formats

Choose your export format before starting an export:

FREE

Text (.txt) — One file per meeting with speaker-labeled transcript. Default format.

PRO

CSV (.csv) — All transcripts in a single spreadsheet file. Columns: Title, Date, Duration, URL, Participants, Recorded By, Transcript. Opens in Excel or Google Sheets.

PRO

JSON (.json) — One structured file per meeting with full metadata, participant list, and timestamped transcript array. Ideal for developers or data pipelines.

PRO

Markdown (.md) — One formatted file per meeting with metadata table and speaker-labeled transcript. Renders in Notion, Obsidian, GitHub, or any Markdown viewer.

Large Exports (1,000+ Transcripts)

For exports over 1,000 transcripts, TranscriptExporter automatically splits the download into multiple ZIP files — each containing up to 1,000 transcripts. This prevents browser memory issues and ensures reliable downloads even for very large archives.

For example, exporting 2,500 transcripts will produce 3 ZIP files. You'll see live progress notifications as each part saves to your downloads folder.

Browser Compatibility

  • Supported: Google Chrome (recommended)
  • Not Supported: Firefox, Safari, Edge, mobile browsers
  • Requirement: Chrome version 88+ (most recent versions)

Internet Connection

A stable internet connection is required during export. If your connection drops, the export will pause and can be resumed when reconnected.

Troubleshooting Guide

License Key Problems

"Invalid License" Error

  • Double-check license key for typos (no spaces)
  • Ensure you haven't exceeded 3-device limit
  • Verify your payment was processed successfully
  • Contact support if purchased within last 24 hours

Export Problems

Export Stops or Stalls

  • Check your internet connection is stable
  • Click "Resume Export" if the button appears
  • Try refreshing the page and restarting the extension
  • For very large exports (1000+), try exporting in smaller date ranges

No Transcripts Found

  • Check that your meetings actually have transcripts in Fathom
  • Clear your date/keyword filters and try again
  • Verify you're connected to Fathom (check extension popup)
  • Try disconnecting and reconnecting your Fathom account

Connection Errors

  • Click "Connect to Fathom" to reauthorize the connection
  • Clear your browser cache and cookies for fathom.video
  • Make sure you're logged into Fathom in another tab
  • Check if Fathom is experiencing service issues

Browser Issues

Extension Not Working

  1. Verify extension is enabled in chrome://extensions/
  2. Refresh the Fathom.video page
  3. Restart Chrome browser completely
  4. Check for Chrome updates
  5. Reinstall extension from Chrome Web Store

Pro Features (Optional Upgrade)

TranscriptExporter Pro - $6.99/month

Pro is an optional upgrade that adds automatic cloud backup and additional export formats. Your Basic license ($29 one-time) includes unlimited text exports forever — Pro adds cloud sync, CSV, JSON, and Markdown export formats!

Google Drive Backup

  • Auto-upload exports to Drive
  • Choose custom folder location
  • Never lose meeting notes

Dropbox Backup

  • Auto-upload exports to Dropbox
  • Organized folder structure
  • Access from any device

Setting Up Google Drive

  1. Go to extension Settings
  2. Find the Google Drive section
  3. Click "Connect Google Drive"
  4. Sign in and authorize TranscriptExporter
  5. Choose your backup folder (or use default)
  6. Done! All exports will auto-backup

Note: You may see a "Google hasn't verified this app" warning. Click "Advanced" → "Go to TranscriptExporter" to proceed. This is temporary while we await Google verification.

Setting Up Dropbox

  1. Go to extension Settings
  2. Find the Dropbox section
  3. Click "Connect Dropbox"
  4. Sign in to your Dropbox account
  5. Authorize TranscriptExporter
  6. Done! All exports will auto-backup

Managing Your Pro Subscription

You can manage your subscription anytime from the extension:

  1. Open the extension and go to Settings
  2. Click "Manage Subscription"
  3. In the billing portal, you can:
    • Update payment method
    • View billing history
    • Cancel subscription

Cancellation: If you cancel, Pro features remain active until the end of your billing period. Your Basic license stays active forever.
