Complete user guide for bulk exporting Fathom transcripts

Installation & Setup

Two Ways to Get Started

There are two paths to installing FathomExporter depending on how you discovered it:

Path A: Website First

  1. Visit transcriptexport.com
  2. Purchase license ($29)
  3. Receive email with Chrome Web Store link
  4. Install extension from Chrome Web Store
  5. Enter license key from email
  6. Start exporting

Path B: Chrome Web Store First

  1. Find extension in Chrome Web Store
  2. Install extension (free)
  3. Open extension - see "Need License" message
  4. Click link to transcriptexport.com/checkout
  5. Purchase license ($29)
  6. Enter license key in extension
  7. Start exporting

License Key Setup

Activating Your License

  1. Click the FathomExporter icon in your Chrome toolbar
  2. Enter your license key (25 characters, no spaces)
  3. Click "Validate License"
  4. Wait for "License Valid" confirmation

Device Limits

Each license can be activated on maximum 3 devices. If you need to use it on more devices, contact support for additional licenses.

Using FathomExporter

Basic Export Process

Works on Both Page Types

My Calls

Navigate to fathom.video/calls

Team Calls

Navigate to fathom.video/teams/[teamname]

Both page types supported with identical functionality

  1. Navigate to Fathom.video - Go to your meetings list (My Calls or Team Calls)
  2. Open Extension - Click the FathomExporter icon in your toolbar
  3. Configure Filters (optional) - Set date ranges or keywords
  4. Start Export - Click "Start Export" button
  5. Keep Tab Open - Don't close the Fathom.video tab
  6. Wait for Completion - Extension will show progress
  7. Download ZIP - All transcripts packaged automatically

Filtering Options

Date Filtering

  • Set start date and end date
  • Format: MM/DD/YYYY
  • Leave blank to export all dates
  • Useful for quarterly exports

Keyword Filtering

  • Comma-separated keywords
  • Example: "Check In, Marketing Meeting, Q3 Wrap-Up"
  • Matches meeting titles
  • Leave blank to export all meetings

What Happens During Export

FathomExporter works by actually clicking elements on your screen. You will see:

  • Direct navigation between meeting pages (no homepage returns)
  • Pages loading and navigating automatically
  • Transcript text being extracted from each meeting
  • Streamlined progress with faster page transitions
  • Files downloading to your computer when complete

Step-by-Step Process

  1. Scan Page: Extension finds all meeting links
  2. Apply Filters: Filters meetings based on criteria
  3. Direct Navigation: Jumps directly between meetings (no homepage returns)
  4. Extract Transcript: Gets transcript from each meeting page
  5. Create File: Generates filename with date and title
  6. Next Meeting: Navigates directly to next meeting URL
  7. Create ZIP: Packages all files when complete

Progress Tracking

The extension shows real-time progress with direct navigation:

  • Number of meetings processed
  • Current meeting being exported
  • Direct page-to-page navigation progress
  • Estimated time remaining
  • Any errors encountered

Important Warnings & Limitations

🚨 Critical Requirements

  • Keep Fathom Tab Open: Do not close the fathom.video tab during export
  • Stay on Same Monitor: If you have multiple monitors, you can use others normally
  • Don't Navigate Away: Don't manually click links in the Fathom tab
  • Tab Focus: Keep the Fathom tab active for direct navigation to work properly
  • Popup Management: You can close the extension popup - use the progress indicator to reopen

Browser Compatibility

  • Supported: Google Chrome (recommended)
  • Not Supported: Firefox, Safari, Edge, mobile browsers
  • Requirement: Chrome version 88+ (most recent versions)

  • Use date filtering for large archives (export quarterly)
  • Stable internet connection helps prevent timeouts
  • Don't run other intensive programs during export

Troubleshooting Guide

License Key Problems

❌ "Invalid License" Error

  • Double-check license key for typos (no spaces)
  • Ensure you haven't exceeded 3-device limit
  • Verify your payment was processed successfully
  • Contact support if purchased within last 24 hours

Export Problems

Export Stops or Freezes

  • Refresh the Fathom.video page and restart export
  • Check your internet connection
  • Close other browser tabs to free up memory
  • Try exporting smaller date ranges
  • Ensure you're on the correct page type (My Calls or Team Calls)

No Transcripts Found

  • Ensure you're on the correct Fathom.video page (My Calls or Team Calls)
  • Check that your meetings actually have transcripts
  • Clear your date/keyword filters and try again
  • Refresh the page and restart the extension

Navigation Errors

  • If you see "Navigation error detected" - restart the export
  • Ensure the Fathom tab stays active during export
  • Don't manually navigate away from the current page
  • Check that meeting URLs are accessible

Browser Issues

Extension Not Working

  1. Verify extension is enabled in chrome://extensions/
  2. Refresh the Fathom.video page
  3. Restart Chrome browser completely
  4. Check for Chrome updates
  5. Reinstall extension from Chrome Web Store
